You will be reporting directly to the Office Manager within the Finance & Estates Team and you will be responsible for providing essential administrative and operational support to ensure the smooth running of the Emergency Assistance Fund. You will support the full process and administration of the fund and undertake any other general office and administrative duties required.
You will bring relevant experience from a similar role, alongside a strong commitment to your own professional development. You will take the lead on procurement for the Emergency Assistance Fund, including ordering items and coordinating delivery and installation where required. You will be responsible for maintaining accurate records, ensuring timely credit card returns, monitoring stock levels, and arranging replenishment as needed. Within your areas of responsibility, you will ensure compliance with all relevant policies, including GDPR, and that all transactions and communications are accurately logged for audit and reporting purposes.
In addition, you will provide facilities management support, including overseeing office Health & Safety processes and procedures, organising repairs, acting as the main point of contact for photocopier contracts, and managing the recycling contract to ensure collections are prepared and completed efficiently.
You will also deliver all aspects of reception facilities, answering incoming calls and coordinating room bookings and catering for meetings and events as required.
