<p>Honeycomb is pleased to partner with the Northern Health and Social Care Trust in the recruitment of a <strong>Temporary Band 3 Personal Secretary</strong>. This is a short-term assignment for an initial period of 2 months, with an immediate start available.</p><p><strong>Location:</strong> Whiteabbey Hospital<br /> <strong>Organisation:</strong> Northern Health and Social Care Trust (NHSCT)<br /> <strong>Hours:</strong> Monday to Friday, 9:00am - 5:00pm (37.5 hours per week)<br /> <strong>Contract:</strong> Temporary, Full-Time<br /> <strong>Pay Rate:</strong> Band 3 - £12.75 per hour</p><p><strong>About the Role</strong></p><p>An excellent opportunity has arisen to join the Northern Health and Social Care Trust as a Personal Secretary based at Whiteabbey Hospital. This temporary role will run for approximately 2 months and requires someone who can begin straight away.</p><p>The successful applicant will provide essential administrative and secretarial support within a fast-paced environment, helping to ensure the smooth operation of the service. You will collaborate with a range of Health and Social Care professionals while contributing to a high standard of service delivery.</p><p> </p><p><strong>Key Duties</strong></p><ul><li>Provide comprehensive secretarial support to the Team Leader, including managing schedules and appointments.</li><li>Deliver efficient administrative and clerical assistance across the department.</li><li>Coordinate meetings, including preparation of agendas, distribution of materials and accurate minute-taking.</li><li>Serve as a key contact for queries, liaising with internal staff, senior management, and external organisations.</li><li>Oversee incoming and outgoing correspondence, emails, and phone calls, ensuring appropriate follow-up.</li><li>Maintain secure and accurate filing systems in line with data protection and information governance standards.</li><li>Input and extract information from IT systems and spreadsheets.</li><li>Create and manage spreadsheets and databases using Microsoft Office, especially Excel.</li><li>Assist with complaint handling processes, including arranging meetings and compiling documentation.</li><li>Carry out basic financial tasks such as petty cash handling when required.</li></ul><p> </p><p><strong>Essential Criteria</strong></p><p><strong>Qualifications & Experience</strong></p><p>Applicants must meet one of the following:</p><p><strong>Option 1:</strong></p><ul><li>4 GCSEs (A-C) including English (or equivalent), and</li><li>At least 1 year of paid clerical experience in an office setting using Microsoft Office, plus.</li><li>Minimum 1 year of experience taking minutes (where required)</li></ul><p><strong>OR</strong></p><ul><li>GCSE English (A-C) (or equivalent), and</li><li>At least 2 years of paid clerical experience in an office environment using Microsoft Office, plus.</li><li>Minimum 1 year of minute-taking experience (where required)</li></ul><p>In addition, candidates must have either:</p><ul><li>RSA/OCR Stage II Typing/Word Processing (both parts), or</li><li>At least 1 year of experience using IT systems, including word processing, spreadsheets, and email.</li></ul><p> </p><p><strong>Skills & Competencies</strong></p><ul><li>Strong verbal and written communication skills</li><li>Ability to collaborate with colleagues and senior staff.</li><li>Capable of working independently and using initiative.</li><li>Comfortable working to deadlines in a busy environment</li><li>Proficient in IT systems</li></ul><p>Experience should include:</p><ul><li>Microsoft Office (Word, Excel, Outlook)</li><li>Managing diaries (electronic and manual)</li><li>Coordinating and minuting meetings</li><li>Producing and analysing data using Excel</li><li>Data entry and reporting</li></ul><p><strong>Benefits</strong></p><ul><li>Monday to Friday working pattern with standard daytime hours</li><li>Increased holiday entitlement after 12 weeks</li><li>Inclusive and supportive working environment</li><li>Opportunity to contribute meaningfully within Health & Social Care</li></ul><p>If you are motivated, dependable, and ready to build your experience in a professional environment, we would like to hear from you.</p><p>To apply in confidence, please submit your CV via the link provided or contact <strong>Geraldine Stevenson for</strong> more information.</p><p>If you require any adjustments or support during the recruitment process, please let us know so appropriate arrangements can be made.</p><p>Please note: Successful candidates may need to complete a Basic or Enhanced Access NI check (fee of £18+).
