Job description
<p> We have an excellent opportunity to join the team supporting the Health & Safety function in delivering its strategy, plans, and procedures. This role will contribute to driving continuous improvement in Health & Safety performance across the firm’s UK operations. </p><p> This position can be based either in London or East Midlands office. </p><b> Key Responsibilities </b><p> Duties will include, but are not limited to: </p><b> Audit and Administrative Support </b><ul><li> Assist with audit processes, including: </li><li> Booking meeting rooms and arranging catering </li><li> Scheduling internal audits and maintaining the audit calendar </li><li> Preparing and distributing communications (emails, posters, etc.)</li></ul><b> Fire Warden & First Aider Coordination </b><ul><li> Support fire warden and first aider processes, including: </li><li> Producing monthly fire warden training reports </li><li> Preparing payment lists </li><li> Sending welcome communications </li><li> Ordering and distributing first aid supplies, equipment, and fire warden jackets </li></ul><b> Inbox and Case Management </b><ul><li> Monitor the team inbox, including: </li><li> Escalating urgent matters </li><li> Responding to general enquiries </li><li> Checking documentation for accuracy and completeness (e.g. correct versions of risk assessments)</li><li> Logging Young Persons/NEMS risk assessments </li></ul><b> Documentation and Systems Management </b><ul><li> Ensure H&S information, policies, risk assessments, and templates are accurate and up to date across systems </li><li> Provide updated documentation to key stakeholders, including office managers and service leads </li><li> Maintain accurate H&S records in line with required standards </li><li> Conduct weekly reviews of the risk assessment checklist </li></ul><b> Stock and Communications </b><ul><li> Manage stock levels of H&S materials </li><li> Compile and distribute the H&S newsletter </li></ul><b> Health & Wellbeing Support </b><ul><li> Provide administrative support for wellbeing initiatives, including: </li><li> Sports team administration (e.g. invoice checks and approvals)</li><li> Scheduling health fairs </li><li> Coordinating flu vaccination clinics </li><li> Monitoring wellbeing classes/therapies to ensure compliance with training and insurance requirements </li></ul><b> General Support </b><ul><li> Make updates to documentation as directed by managers </li></ul><b> Skills, Experience & Attributes </b><b> Experience & Skills </b><ul><li> Strong organisational and administrative skills </li><li> Experience providing support in a similar environment is desirable </li><li> Previous exposure to Health & Safety responsibilities is advantageous but not essential </li></ul><b> Personal Attributes </b><ul><li> Self-motivated, reliable, and positive approach </li><li> Inquisitive, resilient, and proactive </li><li> Credible and professional </li><li> Keen to develop personal capability </li><li> Strong team player with the ability to build positive working relationships </li></ul><b> Equal Opportunities at SPS </b><p> We are proud of the progress we have made in building a truly inclusive workplace, where equal opportunity is more than a principle — it is a commitment in action. </p><p> Our diversity, equality, and inclusion approach recognises that a diverse workforce creates a richer and more dynamic working environment.
